How does TranScriptRx Work?

Availability

Opti-Script services its clients 24/7/365.  After-hours STAT reports are available via a toll-free number and call service.  There’s always a credentialed, knowledgeable transcriptionist available!

Qualified Workforce

Opti-Script values credentialing. Approximately 50 percent of our workforce – and all of our QA and Transcription Management staff – are credentialed through AHDI.  All QA Specialists and Transcription Managers have a minimum of 10 years’ acute-care experience.  We also encourage employee participation in local, regional, and national AHDI events.

Quality Assurance

Opti-Script Healthcare Documentation Specialists are supported by the CQM (Continuous Quality Management) team members, each of whom is either a CMT or CHDS with a minimum of 20 years' transcription experience.

Quality review includes both concurrent (prior to document delivery to the client) and random retrospective review. From hire, each Healthcare Documentation Specialist is on 100 percent mandatory review until released by the CQM team. Subsequently, monthly retrospective reviews are conducted for continuous quality improvement and ongoing education.

Communication between clients and the CQM team is ongoing to ensure delivery of complete, accurate documentation that meets client expectations. Client and provider concerns are addressed in a timely manner, with specific analysis as requested. 

Confidentiality

Opti-Script works directly with each provider to ensure compliance with all HIPAA and HITECH regulations with properly executed Business Associate agreements and mandatory training of all new hires with annual review and retesting on privacy and security to ensure continuous compliance.

Opti-Script provides all hardware and software necessary for employees to perform their jobs. Technical support is available for employees 24/7, assuring compliance with privacy standards. 

Billing Integrity and Transparency

Detailed billing statements provide clients with provider identification, medical record numbers, number of lines transcribed/edited, and the cost of each report. Monthly summaries by physician and work type also are available. Complete transparency of invoicing is an Opti-Script core value. All line counts are auditable, and an independent audit can be facilitated at any time.

Billing options are available, including VBC (visual black character) and virtual line.

Technology

From our initial consultation, and with the help of a needs-assessment survey, Opti-Script partners with each client to ensure complete understanding of the customer’s preferred technology, workflow, and documentation needs. Opti-Script works with the client's selected technology vendor to develop affordable solutions that leverage clients’ assets and workflow processes to ensure quality documentation, system reliability, and prompt turnaround time. Options include remote workstations, toll-free dictation access, digital portable devices, electronic signature, smart phone access, auto-fax, secure web portal, and/or direct editing and printing of reports locally.

Opti-Script contractually commits to meeting specific TAT requirements and partners with its clients’ IT and medical staffs to develop and test disaster-recovery solutions. Clients’ IT staffs help to create and administer affordable HL7 interfaces, VPN solutions, and document uploads.  Integration with client data systems allows document storage in any format.
